General Faculty,

As part of a review of CSU’s administration of federal financial aid programs, the U.S. Department of Education is requiring us to verify the enrollment of some of our students for the 2008-09 and 2009-10 academic years. In the next few days, some of you will receive a request from our office of Student Financial Services to verify that a student attended class during a specific semester in one or both of those years.

We realize this creates some additional work and inconvenience, but it’s very important that you respond to this request. To respond, you can just click on a link in the e-mail and go to a secure site to record your answer. Please provide all of the information you have available. If you have questions, please contact Andy Carter in Student Financial Services. He can be reached at (970) 491-2564 or at andy.carter@colostate.edu.

In addition, a new process will be initiated at the end of the spring 2011 semester. When you assign a student a final semester grade of “F ” or “U, ” you will be required to enter the date of the student’s last “academically related activity. ” This is necessary to ensure that students who receive failing grades actually attended the class and, therefore, are eligible for any financial aid they may have received. An “academically related activity ” includes, but is not limited to:

  1. physically attending a class
  2. submitting an academic assignment;
  3. taking an exam, an interactive tutorial, or computer-assisted instruction;
  4. attending a study group that is assigned by the institution;
  5. participating in an online discussion about academic matters;
  6. initiating contact with a faculty member to ask a question about the academic subject studied in the course.

Thank you in advance for assisting CSU in responding to this review — your participation is important and very much appreciated.
